Meeting Rooms

We provide various-sized meeting spaces free of charge to nonprofits & community groups for the presentation and exchange of information and opinions.

Meeting Rooms

Poudre Libraries provide various sized meeting spaces free of charge, to nonprofits and qualifying community groups for the presentation and exchange of information and opinions of all kinds.

Making Reservations

For Meeting Room information and reservations, request a reservation online or call the Answer Center at (970) 221-6740. 

Meeting Rooms may be reserved online 24 hours ahead of the meeting date/time. Groups requesting meeting rooms within 24 hours of their desired start time must call the Answer Center.

To cancel a reservation, please notify the Answer Center as soon as possible. A room reservation will not be held beyond 15 minutes of the scheduled start time.

Please note: Library staff does not assist with room setup and take down.

Meeting Room Guidelines

  • Available for nonprofit and qualifying community groups.

  • All meetings must be free and open to the general public.

  • Meeting rooms may not be used for onsite fundraising or commercial purposes, including but not limited to:

    • Exchange of money

    • Sales of goods or services

    • Advertisement of goods or services

    • Requests for donations

    • Charge for entry

  • Rooms are not available for individual or private use.

  • Meeting rooms are available for use only during regular library hours.

  • Reservations will not be held beyond 15 minutes of the group’s scheduled start time.

  • There will be no access to the space until the start of your reserved time.

    • Please include set up and breakdown times within your scheduled reservation.

  • In the event of an unplanned/emergency library closure, room reservations during the closure will be cancelled.

  • Permission to use the rooms does not constitute an endorsement by the Poudre Libraries, its Board of Trustees, or its staff of any group’s policies and beliefs.

    • Groups are able to reserve meeting spaces regardless of beliefs or affiliations.

  • Library District Policies apply to all people using meeting rooms.

  • Users of the meeting rooms must comply with procedures. The District reserves the right to revoke meeting room privileges at any time.

  • Use of alcoholic beverages is prohibited.

  • Any programs involving animals must be approved by a building manager ahead of the start time.

  • Reservation information regarding events in Poudre Library meeting rooms may be made public.

  • Governmental and partner entities may request rooms up to six (6) months in advance.

  • All other groups may request a room up to six (6) weeks in advance.

  • Groups may have three (3) active reservations at one time across our three buildings.

    • The Old Town Library large meeting room may be scheduled for up to four (4) hours in a 24-hour period.

    • The Council Tree Library large meeting room may be scheduled for up to three (3) hours in a 24-hour period.

    • The Harmony Library large meeting room may be scheduled for up to eight (8) hours in a 24-hour period.

  • Rooms must be cleared and cleaned up 15 minutes prior to closing.

  • Reservations at any branch library locations are only available during normal hours of operation up to 15 minutes before closing time, unless approved by the Executive Director.

  • Tables and chairs are provided. AV equipment is available at some locations; however, technical support is not provided. Office supplies are also not available.

  • Free Wi-Fi is available at all library locations.

Old Town Library Meeting Rooms 1 & 2 are equipped with a Hearing Loop. People with a hearing impairment may check out a receiver with headphones or use the T-coil mode on their hearing aid or cochlear implant to enjoy the program through the room’s sound system without distracting background noise and reverberation.

Study Rooms

Reserve study rooms at Old Town Library and Harmony Library for one to eight people, free of charge. Study rooms at Council Tree Libraries are available on a drop-in basis only.

Study rooms may be reserved online up to two weeks in advance. You will need an email address to reserve a study room online. Rooms may be reserved for up to two hours per day, per single-user or group. Rooms must be vacated 15 minutes prior to closing time.

Study Room Regulations

By reserving a study room, you agree to all terms and regulations.

  • To accommodate use by the greatest number of people, use of the study room is limited to one reservation per day per single-user or group. Individuals within a group may not make separate reservations that result in multiple two-hour sessions for the group.

  • Study rooms may be reserved up to two weeks in advance.

  • Room reservations may be made up to the time the room is requested.

  • Room reservations will be held for 15 minutes, and then the room will become available to other users.

  • Groups and individuals using the rooms are responsible for any necessary set up and/or clean up following use.

  • Please leave the study room promptly at your designated end time.

  • If someone is in your reserved room at your designated time, please notify a library employee.

  • Please be respectful of other library users and keep noise to a minimum. The rooms are not soundproof.
